What Should I Include in My Program Terms and Conditions?

Clear Terms and Conditions are essential to the success of your program. They help set expectations for your customers, reduce confusion, and ensure everyone understands how your loyalty system works.

About the Terms & Conditions Template

In the Card Design section of your stamp card editor, you’ll find a Insert T&Cs template button just below the Terms and Conditions text box.

  • Clicking this button will automatically populate a sample template into the field — but only if the field is empty.

  • The template includes placeholder text in [square brackets], which you should replace with your own program details.

Note: The Terms and Conditions field has a 500-character limit, so your text should be short, clear, and informative.

Suggestions: What to Include in Your Terms

To make your program Terms and Conditions useful and comprehensive, consider including the following:

  • Expiry date: state how long your reward is valid.

    • Example: “Rewards expire 3 months after the issue date.”

  • How to earn a stamp: explain what the customer must do to receive a stamp.

    • Example: “Get 1 stamp for every regular sized coffee purchased.”

  • Inclusions & exclusions: mention what doesn’t qualify for the reward, or stamps.

    • Example: “Stamps not available on sale items or gift card purchases.”

    • Example: “Free regular size coffee only. No syrups or extra shots included.”
